From Stalled to Streamlined: How We Rebuilt One Nutritional Therapist's Practice
She qualified as a nutritional therapist because she loves the benefits good nutrition brings and she is passionate about helping women feel better. Nobody mentioned she would also end up as the receptionist, the bookkeeper, the personal assistant and the IT department all at once!

This is the story of how we helped one practitioner systemise a nutritional therapy practice that was paused, and what changed once the admin stopped living in her head (and keeping her awake at night).
Before: a practice running on memory and goodwill
On paper, she was doing well. She's intelligent, passionate and highly qualified to transform lives. Clients love her, her advice works, and her diary was busy with clients. But, behind the scenes was a different picture.
She was at capacity because the admin was overwhelming with:

A website that was only seventy per cent finished, so couldn't launch.
None of it was broken, exactly. It was held together by her, and only her. The moment she got busy, there was a danger that something would be missed, and she knew she couldn't continue to work that way.
It was a blessing in disguise that the website build had stalled - how would she take on more clients when she was flat out being the unpaid admin of her own business?
Why we map the process before touching any software
It's tempting to think the answer is an app. Buy the software, problem solved. It almost never works that way.
Process before software, every time. If you automate a messy process, you just get in a mess faster.
So, before we built anything, we sat down and mapped how her practice actually runs. This is the 'what, when and why' of working with clients:
We mapped her full process, from first enquiry to 3-month post programme follow-up.
We reviewed her onboarding forms, Ts and Cs, consents and disclaimers and worked out what she truly needed to ask, and when.
We collated her resources and branded them, so everything a client received looked like it came from one professional practice (and if a client shared it - it was very clear who the expert was).
Only once we had the Client Journey nailed on paper (well, digitally actually 😂), did we start building the tools to manage it.
How automated client onboarding works for a nutritional therapist

We created business cards with a QR code that books a discovery call in a couple of clicks.
We set up her Google Business Profile, the listing that shows her practice on Google search and is review ready!
We put free accounting software in place, so she can see her numbers at a glance, and cuts out the faff at Tax Return time.
Small things, individually. Together, they turned a half-built setup into a practice that looks and runs like the real, established business it is.
After: capacity instead of overwhelm
The biggest change isn't the software. It's capacity: the room to make decisions on purpose, rather than firefighting whatever lands in her inbox.

An honest word about the tools

Whilst it would be my first choice for nutritional therapy, health coaching, holistic practices, is isn’t necessarily a good fit for other disciplines. Although it can be configured to do what you need it is heavily focused on journals and delivering protocols. My pick for therapists, counsellors and coaches would be Jane App as it’s lighter weight in the delivery but has robust security for managing your clients data - and it’s hosted in the UK!
What can be automated in a nutrition practice?
Plenty. Client registration, payment, booking, terms and disclaimers, journals, questionnaires, appointments, reminders, protocol delivery and follow-up can all run automatically once the process behind them is mapped. Marketing can also be automated, but I would recommend this to be handled separately to your operations software.
Where is Practice Better data stored?
In the United States, under US healthcare rules. UK practitioners can use it within UK GDPR by adding a clear privacy notice and accepting the in-app data processing agreement.
