Why You Need Jane to Get Your Practice Thriving
It is 6pm. You have finished with your last client, the kettle is on, and instead of putting your feet up you are chasing a payment that should have landed three days ago. Then you're sending texts to tomorrow's clients, reminding them of their appointment time, and squinting at your diary, wondering if you have somehow promised two people the same Thursday slot.
Sound familiar? Here is the thing. You did not train for years in your craft to spend your evenings as the unpaid admin of your own practice.
Enter Jane, well, Jane.app to be precise! Jane is a practice management software built specifically for health and well-being practitioners. It looks after your bookings, payments, reminders and client notes in one secure place, so the boring old admin runs itself while you do the work you trained for.
Here are the 10 most frequently asked questions and issues I get asked as a consultant and how Jane answers them.
1. How do I handle it when a client doesn't show up?
A no-show is not just a gap in your day. It is income you planned for, gone, with no notice and no comeback. Jane lets you take a deposit or full payment automatically when they book and set a clear cancellation window with a fee attached, all without awkwardness! Jane tells the client, so you don't have to! So, when someone books, they have skin in the game. Your time is treated as the valuable thing it is, and you never have to send out your bank details again.
2. Clients don't pay on time – what do I do?
So many practitioners deliver brilliant work and then start the slow dance of invoicing, waiting, and gently chasing. It is exhausting, and it is one of the real reasons good practices stay skint. With Jane Payments built in, clients can pay securely online when they book. Card details are stored safely, payment is taken up front, and you walk into the session knowing it is already sorted. No chasing. No friction. Just you focusing on outcomes for your client.
3. What's the best way to keep track of client sessions?
You know that selling a block of six sessions serves your client better than one-off appointments. But managing who has used what, and who needs to pay again, is a headache that puts a lot of us off. Jane handles packages and memberships for you. You set up the offer once, the client buys it, and Jane keeps track of sessions used and payments due in the background. Build the system once, then let it carry the load.
4. I spend time sending texts to my clients to remind them of their appointment time – is there an easier way?
How many hours have you lost to manually nudging people about tomorrow's appointment? Most clients are good at remembering, but every time someone forgets – you lose money! Your friend Jane has it covered, sending automated email and text reminders and booking confirmations, on your behalf, every time. Fewer no-shows, fewer 'I completely forgot' messages, and not a single reminder typed out by you at 10pm or 7am!
5. How do I ensure know that client notes are protected in the cloud?
Client notes scattered across notebooks, word documents and the odd voice memo are a risk, not a record. For anyone handling sensitive health information, that matters enormously. Jane gives you proper, secure client notes with templates you can shape to your own way of working. Once a note is finalised it is locked, so your records stay trustworthy. Everything sits behind individual logins and role-based access, which means your client information is held the way it should be, not in a 'digital shoebox.'
6. GDPR is complicated, how can I ensure I am compliant?
This one matters more than people realise. When you handle client health data, where that data physically lives is part of doing right by the people who trust you. When you set up Jane, you choose your regional data centre, and clinics in the UK have their data stored on servers here in the UK. Jane is built to meet UK GDPR requirements, with **jargon alert** bank-grade encryption and OC 2 certified data centres. You get to honour your clients' privacy without needing a law degree to do it.
7. How can I avoid the problem of double booking when I have two diaries?
Double bookings happen when your work life and your real life live in two different calendars that never speak to each other. Jane connects with your existing calendar, so the busy slots in your personal Google or Outlook calendar block out your availability in Jane, and no client can book over your dentist appointment or the school run. You can also view your Jane schedule in your phone calendar.
8. I can't take payments online because my clients need an invoice.
Manually drafting invoices, checking what has been paid, and issuing receipts is the kind of admin that pays you nothing and drains you completely. Jane generates invoices and receipts automatically as soon as a client pays for their appointment. Your financial records build themselves in the background, ready for your accountant and ready for you. That is real capacity handed back to you, every single week.
9. Getting clients to fill out my intake form is difficult – some hand write it and give it to me, some send photos of PDFs. How can I get them all to do it the same way?
A lot of the back-and-forth in a practice is just plain old admin you don't get paid for. Sending the intake form. (Resending the intake form). Sending a questionnaire or food diary. Sharing a worksheet or factsheet. Answering 'what time was I booked in again?' Jane gives each client a secure portal where they can book, rebook, pay, complete their intake and consent forms, and access documents you have shared with them. The faffing drops away, your client feels looked after, and you both have one tidy place for everything.
10. Admin takes much longer than I thought, how can I make it easier?
Add up the deposits, the payments, the reminders, the invoices and the forms, and you are looking at hours back in your week. And here is the part that changes everything. Because your processes now live in a proper system instead of inside your head, you can finally bring in help. Admin and support staff use Jane free of charge, so a virtual assistant can log straight in and run the engine while you stay in your circle of genius. That is delegation made genuinely doable.
Beware - Switching Jane on will not immediately fix your practice.
Here is a home truth, and I would not be doing my job if I dressed it up as an instant fix. A brilliant tool cannot rescue a messy process. It only gives the chaos somewhere shinier to live.
Jane works best when you have thought about how you actually need it to work first. What does your booking flow look like? What goes in your welcome email? Which templates do you reach for again and again? What are your cancellation terms, in plain English? Sort that out, and Jane becomes the engine that runs it. Skip it, and you have paid a monthly fee to feel exactly as scattered as before, only now it's online. 😂
Be honest with yourself about the setup. Done properly, mapping Jane to your practice, loading your templates and setting your policies takes real time and a fair bit of head-scratching if you're not tech savvy. It is worth every minute. But it is not a flick of a switch, and anyone who tells you otherwise is selling you a fairytale.
If reading that made your shoulders creep up towards your ears, here is the good news. You do not have to do it on your own. A done-for-you Jane implementation is part of the More Profitable Me® ecosystem of services. I build the whole thing around the way you work, so you skip the head-scratching and start with an engine that already fits your practice. Is Jane.app right for every practice?
Honestly? Not always, and I will never pretend otherwise.
Jane is at its best for practitioners who take bookings, take payments and keep client notes. Think therapists, counsellors, nutritionists, physios and similar (although for nutritionists I have another epic system up my sleeve!). If you run ad hoc or pure drop-in group classes with no individual client records, it may be more tool than you need right now.
One more thing, because I would rather you heard it from me. Jane.app is brilliant at running the client side of your practice, but it is not a marketing platform. It will not send your newsletter or build your landing pages. You will still want a separate, simple tool for that (we use systeme.io). Match the tool to the job and never buy more than your practice actually needs.
Before you buy any tool, know where the leaks are.
A great tool like Jane can take a real weight off your shoulders. But a tool is only as good as the thinking behind it, and the worst thing you can do is bolt clever software onto a practice when you are not yet sure where your time and money are going.
So, before you sign up for anything, get clear on where your practice is leaking. My free Bliss or Burnout Scorecard is a 20-question health check that shows you, in about ten minutes, exactly where your enquiry, booking and operating processes are costing you. Then you will know whether Jane is your next move, or whether something else needs sorting first.
